Every club satisfying the norms laid by the Rotary International President during the Rotary Year 2008-09
will be eligible for a citation signed by the RI President. The number of accomplishments to be achieved under each category by clubs. List is attached. Please refer to the chart in the norms list and decide the accomplishments to be achieved by each club according to the club membership size.
The accomplishments should have been completed by 15th March 2009 and the details, duly certified by the Club
President and the Secretary should reach the District Secretariat by 1st April 2007 positively.
This deadline has to be strictly adhered to as the recommendation for RI Presidential citation have to
reach RI Office before 15th April 2009 positively. Hence late entries will not be entertained or considered.
ELIGIBILITY FOR DISTRICT AWARDS
- The clubs will be grouped into two categories as follows.
CATEGORY-A: Up to 45 Members CATEGORY-B: 46 and Above
- Each Category will carry a first and second prize for each Award, the second prize will be a Certificate of Merit.
- The Awards Committee may at its discretion, present additional Awards or Certificate of Merits in any category, depending
on the performance of the clubs.
- The decisions of the Award Committee will be final and no correspondence will be entertained in the matter.
- Monthly reports of the clubs will be the main basis for deciding the awards. Make it a point to mention about your projects in your Monthly Report as soon as completed, with details, press clippings, Photographs etc.
- Project that are brought in at the last moment without including in the monthly report at appropriate time of the execution will not be considered for the awards. The committee’s decision in this matter will be final.
- The awards committee will at the end of the award period notified (1st July 2008 to 30th April 2009) will give the clubs, the facility to present their award bids in a consolidated form which will be mailed to the clubs. However there will be no scrap books.
- The clubs should have cleared all their statutory dues to RI ad to the District 3202 for being eligible to be considered for the Awards.
- The Committee will suitably take into account the recommendations of the concerned District Directors, the Committee Chairman, Asst. Governors and Zone Co-ordinators while deciding the Awards. Keep all of them informed of your activities regularly and invite them for the club functions.
- (1) Clubs bringing out Bulletins and desirous of being considered for the District Award, should ensure that copies of their Club Bulletins are sent regularly to the District Governor, District Governor Nominee, District Secretariat, District Director Awards, District Chairman ( Bulletins), District Club Service Director, Asst Governors and Zone Co-ordinators. Their recommendation will carry due weight at the time of deciding the award. A set of all published bulletins during the award period should be sent along with consolidated format, if any club is bidding for the Awards in this category.
(2) In the case of Club Bulletins, the periodicity of Bulletins, format, contents, method of presentation, regularity of publication and relevance to Rotary subjects etc will be taken into account.
(3) There will be two categories for Bulletins – monthly and weekly, and each category will have a first place and a second place.
- The awards Committee will have the first right to recommend to the Governor to introduce any new Award, other than those listed, or to drop an Award, if there-fore no qualifying entries.
- The Awards Committee will have the option to call for additional details from clubs regarding any Award entry, if required.
- If any club has done exceptionally well in any area and if such project does not fit into any of the categories of Awards herein listed, the District Governor, may at his discretion, recognize such projects through Special Recognition.
- There will be no Zonal level Awards.
- The decision of the District Governor is unquestionable and final in granting the awards.

- There will be one Award and one Certificate of Merit in each category for the Best Programme in each of the Dist.Project executed during the Award period.
SPECIAL AWARDS:
- Observation of Polio immunization Days. The best club in each region may be selected for an Award. Based on the report of the same Dist.co-ordinator in charge of Polio Plus and recommended by the Dist.Director, Polio Plus.
- Governor’s special Recognition the District Governor will recognize such of those Rotarians who, in his opinion, contributed to the general and over all progress of Rotary in the Dist during the Award period.
PLEASE NOTE:
- The clubs are expected to be specific and factual in their reporting every month. Attach supporting documents wherever required.
- The weight of the Monthly report or the number of photographs not influences the Committee, in any way in deciding the award.
- The District Secretariat, the Governor or the Awards Committee, Director will not be in a position to enter into any correspondence regarding the Awards.
- Clubs qualified for the Awards will be individually intimated.
- Clubs which do not send monthly reports regularly will not be eligible for the awards.
GUIDELINES:
The guidelines for deciding the best service projects will be generally:
- The relevance of the project to Rotary.
- The relevance/concern of the Project to Community.
- The location of the club and its size.
- The benefits derived by the targeted group in the community from the programme and the extent of benefit.
- Involvement of non-Rotarians and other non-Rotarian Organizations in the programme, if any.
- Motivation to club member and the extent of their involvement.
- Methodology adopted in the implementation of the project survey, analysis, planning, actions, evolution.
- Community image and public relations achieved through the project.
- Financial commitment of the project and how funds were raised.
- Was it a one-time project or a continuing one? If continuing, how is it proposed to be run in future?
- Was any financial assistance available through non-source other than your club? Local or outside and Rotary or non-Rotary? If so, furnish details.
- Is public money involved? If so, to what extent and how was’ it raised? Is the aspect of public accountability satisfied?
- Details of press clippings, photographs, etc. relating to the project (No scrap book) to be sent along with the Monthly Reports only.
- The relevance of the project, if any, to the current year’s R.I, theme should be specifically highlighted.
- Any other relevant information concerning the project to be considered.
- Do not waste money on sending original photographs of projects.
- Their Photostat copies will be sufficient. If at all you send photos, restrict it to just one or two, maximum.
- Photographs should be action-oriented.
